Reviewing and Managing Equipment Status

New tools for controlling equipment status: sync new equipment as inactive, flag unreviewed items, and update status in bulk via CSV.

Your active equipment count matters — it determines which machines ZippyAssist supports and how your plan is billed. ZippyAssist now includes several tools to help you review equipment and keep every item's Active/Inactive status accurate, especially when equipment is synced automatically from a vending management system (VMS).

Sync new equipment as inactive

If your equipment syncs in from an integration such as Cantaloupe Seed or VendSys, you can now choose to have newly synced items arrive in a deactivated state instead of being active by default. This lets you review each new item and activate only the machines you actually want ZippyAssist to support.

  1. Go to Settings → Organization and find the Equipment Sync Settings section.

  2. Turn on Sync equipment as inactive.

  3. From then on, newly synced equipment will be deactivated by default — activate items manually as you review them.

Note: Changing this setting will clear any existing equipment rules.

Syncing on demand

You don't have to wait for the next scheduled sync. When a VMS integration is connected, the Actions menu at the top of the equipment tab includes two sync options: Sync Latest pulls the most recent changes from your VMS, and Sync All runs a full re-sync of your entire equipment list.

The Needs Review flag

Equipment that hasn't been manually reviewed by your team is flagged as Needs Review. Use the Needs Review toggle at the top of the equipment list to see exactly which items still need a decision, and clear the flag as you confirm each item's status. ZippyAssist will also send a weekly reminder notification while you have unreviewed equipment, so nothing slips through the cracks.

Updating status in bulk with a CSV

If you already know which machines should be active or inactive, you can upload a list of Asset IDs and the status you want applied to each. This is the fastest way to bring a large equipment list into shape — for example, deactivating every machine on a route you no longer service.

  1. Go to your equipment list, click the Actions button at the top of the screen, and select Upload.

  2. Switch to the Update Status tab.

  3. Upload a CSV with just two columns: ASSET_ID (or TAG_ID) to identify each machine, and STATUS set to active or inactive. A Download Example File button on the tab gives you a ready-made template.

  4. Validate, review the preview, and confirm. Matching equipment is immediately marked active or inactive.
